A concert tour to the United Kingdom is an unforgettable experience for any youth orchestra. The British music landscape offers world-famous concert halls, a vibrant classical scene and an enthusiastic audience. At the same time, Brexit has introduced new requirements for travel planning: from visa regulations and customs documents to special entry rules for minors, numerous details must be considered. We know these requirements inside out and ensure that conductors and chaperones can focus on the music while we handle all travel logistics. The United Kingdom drives on the left, which requires adjustment for continental European coach drivers. Our local partners have experienced drivers who are thoroughly familiar with both left-hand traffic and the particular demands of British roads. Coach transport in the United Kingdom requires special planning. Since Brexit, EU coach operators need an ECMT permit (European Conference of Ministers of Transport) or a UK operator licence for cabotage journeys. A maximum of three consecutive cabotage trips within seven days is permitted per entry. We work with licensed British and continental European coach partners who hold all required permits. In London, the Ultra Low Emission Zone (ULEZ) has covered the whole of Greater London since 2023. Coaches that do not meet at least Euro VI standards are subject to a daily charge of GBP 100. The Congestion Charge (currently GBP 15 per day, Monday to Friday 07:00–18:00, Saturday and Sunday 12:00–18:00) applies in central London on top. Further Clean Air Zones exist in Birmingham, Bristol, Bradford and other cities. We exclusively deploy Euro-VI-compliant vehicles and transparently include all city toll charges in our quotation. Driving on the left affects not only the drivers but also the entire logistics: stops, boarding and alighting of musicians, and manoeuvring at venues must all be planned accordingly. Travel management for youth orchestras visiting the United Kingdom involves considerably more administrative steps since Brexit. Groups from EU countries do not require a visa for tourist stays of up to 180 days, provided no paid performances take place. For remunerated concerts, the Permitted Paid Engagement (PPE) Visa applies, valid for up to one month for individually pre-arranged engagements. Alternatively, youth orchestras may fall under cultural exchange programmes exempt from visa requirements, provided certain conditions are met: no commercial remuneration, an invitation from a British institution and an educational or cultural purpose. The GBSM Visa (Government Authorised Exchange) may be relevant for longer stays. For instruments carried along, an ATA Carnet is recommended, enabling temporary import without customs duties. The Carnet is applied for at the relevant chamber of commerce before the trip and must be stamped by British customs upon entry and exit. Special entry rules apply to minors: every participant needs their own passport (national identity cards have not been accepted since Brexit), and it is advisable to carry a notarised letter of consent from parents or guardians. British safeguarding requirements for children and young people are strict: accompanying adults who regularly work with minors need a DBS check equivalent, and the supervision ratio should be at least one adult per ten young people. Post-Brexit regulations change regularly, which is why we continuously monitor all rules and inform our clients of changes at an early stage. Instrument logistics deserve special attention: large instruments such as timpani, harps or double basses require special loading permits and must be listed individually in the ATA Carnet. The British summer season (June to September) is especially popular for youth orchestra tours, as many festivals and summer programmes take place. During this period, we recommend booking at least nine months in advance, as hotels and venues fill up quickly. British cuisine has developed considerably in recent decades; nevertheless, when planning catering for large groups, special dietary needs (vegetarian, vegan, allergies, Halal, Kosher) should be communicated early.
