For competitions in London we coordinate entry into the Congestion Charge Zone and use the authorised coach stops at the South Bank, Barbican and in Kensington. We book the Channel crossing (Eurotunnel or ferry), reserve hotels near the competition venue – preferably with practice rooms or within walking distance of the venue – and align the entire travel plan with the competition schedule. For young participants travelling with teachers or parents we organise a supporting programme in the competition city. Our scheduling accounts for the time difference (GMT/BST), UK bank holidays and potential traffic disruption on the motorways. United Kingdom — What You Need to Know

For EU citizens participating in a music competition in the United Kingdom, the visa requirement depends on the nature of participation. Unpaid competition participation (without contractually guaranteed prize money) may be possible under the Standard Visitor visa or even visa-free (up to 6 months) – however this must be assessed on a case-by-case basis. If prize money or an appearance fee is paid, the Permitted Paid Engagement (PPE) category may apply, allowing paid performances of up to one month. For longer stays or recurring participation a Temporary Worker Visa (Creative Worker) with a sponsor is required. Instruments are imported duty-free via the ATA Carnet. The ULEZ (Ultra Low Emission Zone) has covered the whole of Greater London since August 2023 and costs £12.50 daily for vehicles below the Euro VI standard. The Congestion Charge (£15 daily) applies in central London. In Leeds, Manchester and Birmingham, Clean Air Zones operate with varying charges and registration requirements for coaches. The Leeds Clean Air Zone has applied to buses and coaches not meeting at least Euro VI since 2024.

Do young EU musicians need a visa to participate in a UK competition?

That depends on the nature of participation. For purely competitive participation without contractually guaranteed remuneration, EU nationals may be able to enter as Standard Visitors (up to 6 months, visa-free). However, once prize money, performance fees or expense allowances are involved, a Permitted Paid Engagement (PPE) visa is normally required. For underage participants additional requirements apply regarding accompaniment by a legal guardian or authorised chaperone. We recommend clarifying the specific situation at least eight weeks before departure with us and if necessary with an immigration adviser.

What visa applies to competition participants who might receive prize money?

If there is a possibility that a participant may receive prize money, it is advisable to apply for the Permitted Paid Engagement (PPE) visa as a precaution. This allows paid performances and competition participation for up to 30 days, provided the invitation comes from a British institution and the musician's main activity is based outside the UK. Applications are submitted online through the UK Visas and Immigration Portal and normally take three to six weeks. The current fee is £100. Alternatively, participation may be possible under Standard Visitor status if prize money is only paid after the competition and no pre-agreed engagement exists – however this distinction should be reviewed with legal advice.

How do we transport competition instruments safely across the English Channel?

Instruments travel with the musicians on the coach – they are stored securely in the designated luggage compartments, with delicate instruments such as string instruments, harps or historical wind instruments able to be carried in the passenger cabin. An ATA Carnet is required for the border crossing, listing all instruments carried with their description, serial number and value. The Carnet is applied for at the relevant Chamber of Commerce and stamped by customs on entry and exit. Processing takes one to two weeks – we recommend applying at least three weeks before departure. For particularly valuable instruments, additional transport insurance should be taken out.

Which environmental zones apply in British competition cities?

In London the ULEZ has covered the whole of Greater London since August 2023: vehicles below Euro VI pay £12.50 per day. In addition, the Congestion Charge of £15 per day applies in central London. In Birmingham the Clean Air Zone has been active since June 2021, affecting coaches that do not meet Euro VI (£50/day). Manchester has revised its Clean Air Zone plans several times – as of 2025, charges apply to non-compliant buses. In Leeds the Clean Air Zone has been in force since 2024, also affecting coaches below Euro VI. Bristol has a Clean Air Zone in the city centre. All our coaches meet at least Euro VI, so additional charges do not normally apply.
