Festival Transfers in Germany — Artist Shuttle and Coach Transport

We set up a shuttle loop on the grounds running at fixed intervals between the backstage area, artist village, catering and stage entrance. Intervals are adjusted to the daily schedule — tighter frequency before headliners, reduced service at night. Our drivers carry backstage permits and know the internal driving routes. At large sites like Wacken (approx. 240 hectares) or the Nuerburgring, we deploy multiple vehicles in parallel.

For transfers through cities with low emission zones — such as Hamburg for the Reeperbahn Festival or Cologne en route to the Nuerburgring — the green sticker (emission group 4) is mandatory. It does not apply on festival grounds or motorways. All vehicles in our network meet at least Euro 6 standards and carry the green sticker. For international artist buses arriving from other EU countries, we check the emission class in advance and arrange the sticker if needed.

We create a central transfer plan for each festival that consolidates all arrival times, airports and hotel assignments. Each act receives an individual pickup time and meeting point at the airport. When arrivals at the same airport are close together, we combine transfers to reduce costs. Delays are monitored in real time via flight number tracking, and pickup times are adjusted automatically. The festival production manager receives a continuously updated overview of all transfers.

Costs depend on the number of acts, the distance between airport, hotel and site, and the vehicle type. For a typical three-day festival with 10–15 acts, we quote a flat daily rate including standby time, fuel and tolls. A 16-seat shuttle running between hotel and site costs approximately EUR 600–900 per day. For larger productions with multiple vehicles, we create a package with volume discounts. It depends on the festival. At Wacken, Rock am Ring and Hurricane, there are designated backstage access roads that allow production vehicles to reach the area directly behind the stage. Access requires vehicle accreditation, which we apply for through the festival's production office. At festivals like Fusion or Melt on historic industrial sites, access is more restricted — we bring musicians to the nearest possible point and organise the final stretch by golf cart or on foot with crew escort.
